Where to rent a meeting room in Brantford & Paris, Ontario

If you’re in the Brantford–Paris area, here’s an honest comparison of where you can actually rent a professional meeting room, what each option costs, and which is right for what.

Option 1: Coworking boardroom

Not ideal for: very large groups (10+), all-day events with catering, weddings or social events.

Option 2: Hotel meeting rooms

Brantford has several hotels that rent meeting rooms — Best Western Brantford, Comfort Inn, Quality Inn, Hampton Inn. Pricing varies but typically runs $150–$400 for a half-day, often with a catering minimum. Capacity ranges from 8 to 50+ depending on the hotel and configuration.

Best for: medium-to-large events with catering needs, multi-day training sessions, formal corporate meetings where the “hotel ballroom” aesthetic is appropriate.

Not ideal for: short meetings (you’ll be paying half-day or full-day rates regardless), recurring meetings, anything requiring a more design-led atmosphere.

Option 3: Library meeting rooms

Brantford Public Library has bookable meeting rooms, generally free or very low-cost for community use. Capacity varies by branch. Limited tech (you may need to bring your own equipment), and weekday daytime slots fill up quickly.

Best for: community group meetings, non-profit board meetings, free-or-low-cost gatherings where the no-frills environment is fine.

What to look for, regardless of where you book

Capacity that matches your meeting. Booking a 30-person ballroom for a 4-person meeting feels weird and costs more. Booking a 4-person huddle room for an 8-person meeting is even worse.

Reliable internet. A meeting that requires a Zoom call or screen-share dies fast on bad Wi-Fi. Ask before you book.

A whiteboard, AV setup, or whatever you’ll actually use. If you need to draw on a wall, confirm there’s a wall to draw on.

Parking. If your guests are paying for parking, factor that into the cost. Free parking is a real value.

A space you’d be proud to bring a client to. The aesthetic of where you meet someone affects the meeting. A heritage-building boardroom with natural light, plants, and good coffee is meaningfully better for client trust than a fluorescent-lit hotel conference room with industrial carpet.
